1. Who we are
Rabbit Farm Manager is farm management software for rabbit breeders. During beta, support and privacy requests are handled by the product operator at support@rabbitfarmmanager.com.
2. Data we collect
- Account data from Google sign-in, such as name, email, profile image, and session identifiers.
- Farm records you enter: rabbits, cages, breeding cycles, tasks, events, weights, finances, guide articles, and notes.
- Usage and reliability data, such as page views, request logs, error logs, device/browser metadata, and timestamps.
- For Farm Assistant chats, your prompts, assistant replies, owner-provided chat labels, and the relevant farm context needed to generate a response.
3. How we use data
- To provide the app, authenticate users, store farm records, and show reminders and analytics.
- To operate beta access, prevent abuse, debug errors, and improve product quality.
- To generate AI-assisted insights when requested or when dashboard AI briefing is enabled.
- To communicate service, security, onboarding, or support updates.
4. AI processing
AI features may send relevant farm context to the configured AI provider. Farm Assistant transcripts are private to the signed-in author in the selected farm; farm membership alone does not make another person's chats readable. AI output is informational only and may be wrong. It is not veterinary, medical, legal, financial, or animal-welfare advice. You remain responsible for verifying decisions that affect animals or business operations.
5. Legal bases for EU/UK users
- Contract / requested service: to operate the app you choose to use.
- Legitimate interests: security, fraud prevention, debugging, analytics, and product improvement.
- Consent where required: optional analytics, marketing, or non-essential cookies if enabled.
- Legal obligation: records we must keep to comply with applicable law.
6. Subprocessors and hosting
The app is designed to run on Vercel with a PostgreSQL database, Google OAuth for sign-in, Vercel Analytics for product analytics, and Anthropic for AI features when configured. Additional infrastructure providers may be used for database hosting, logging, email, or backups as the beta evolves.
7. Retention, export, and deletion
- Private Farm Assistant transcripts are kept for up to 30 days after the last chat message.
- Deleting a stored chat removes it from your private history immediately. It is permanently removed from the primary database in the next daily cleanup run.
- Removing a person's farm membership or deleting their account removes the associated private transcripts and blocks future reads. A separate AI action audit may retain the tool, validated action input, summary, decision, result, and timestamps needed for operational integrity; it does not retain the full chat transcript, and its source links are removed when the transcript is purged.
- Deleting live data does not retroactively rewrite already-created disaster-recovery backups. Those backups are isolated, are not used to restore a deleted transcript during normal operations, and expire under the production hosting provider's backup rotation.
- During beta, farm-wide data export and deletion requests are handled manually. Email support@rabbitfarmmanager.com from the account email you use to sign in. We will verify ownership before exporting or deleting farm data.

We do not sell personal information. If you are a California or other US state resident with privacy rights, contact us to request access, correction, deletion, or information about processing.
